Wedding Camera Hire – Terms & Conditions

• A non refundable deposit of £100 is required to confirm your booking. The deposit price will be deducted from the total package price. Remaining balance is due 8 weeks before your wedding/event date.

• If you cancel your booking 8 weeks or less before your wedding/event date, then the full remaining balance will still be required, even if the wedding/event has been cancelled.

• If full payment has not been received and cleared into our account 8 weeks before the wedding/event date, Wedding Camera Hire (WCH) will NOT supply any filming equipment what so ever and have the right to cancel your booking.

• Upon making a booking you agree that WCH retain full copyright to the footage that you film and can use your footage for promotional purposes online if necessary.

• Any reproduction by you of any edited material provided by WCH will be in contravention of the Copyright, Design and Patents Act 1998.

• WCH agree to hire video camera(s) and accessories to you the client. Equipment will be delivered to and collected from an agreed address and Clients agree to be available for delivery and collection as per arrangements made with WCH. We reserve the right to supply replacement video camera(s) and accessories of equivalent quality if necessary.

• If the equipment is unable to be delivered for any reason such as adverse weather conditions, lost by the courier or circumstances beyond the control of WCH, then this contract shall be cancelled with no further obligation by either party. In this case, any monies received by WCH from the client will be refunded in full minus the deposit.

• WCH cannot be held responsible for any equipment, memory cards & recorded footage lost or damaged by the courier. The client will receive a full refund of monies paid to WCH minus the deposit. No further liability or action will be taken against WCH.

• WCH will pay the delivery & collection charges for the equipment hired. If the client is not available at the agreed address, time & date, the client will be responsible for any additional re-delivery courier charges that occur.

• FORCE MAJEURE: Due performance of this contract is subject to alteration or cancellation by WCH owing to any cause beyond their control. Liability shall be limited to a full and complete refund of all monies paid to WCH minus the deposit. WCH cannot be deemed liable for any equipment or memory card failure / corruption, nor circumstances beyond their control which may result in the loss of audio and / or visual recording / archived materials, whereby the same terms apply.

• The client must inform WCH of any change of delivery address or wedding/event date from the initial booking form within adequate time, WCH cannot be held responsible for any loss caused by this. Changes are not accepted until confirmed by WCH.

• It is the clients responsibility to make sure that the chosen camera operator/s obtain the desired footage, WCH will NOT be held responsible for any missed or lack of filming.

• WCH has sole discretion over the final editing of the video and chosen video clips to be used.

• Video editing completion on average takes 8-12 weeks after receiving equipment back from the client. In busy periods this can take longer, WCH will decide when the video is ready to be delivered to the client.

• Any re-editing at the clients request is charged at £40 per hour.

• WCH must be informed of any re-editing requests within 4 weeks after receiving the DVD / USB.

• WCH reserve the right to refuse to rent equipment at any time where we deem it in our best interest on the basis of credit, past history, or likelihood of abuse or safety precautions or possible violation of any law(s).

• WCH will not be held responsible for any damage or personal accidents occurred either directly or indirectly by the use of our rented equipment including batteries, chargers and any other accessories. Any directions issued by Clients during filming are agreed to be at the Clients’ own risk. Video cameras and accessories are not to be left unattended at any time.

• Upon taking receipt of delivery of the equipment, it is the clients responsibility to examine all equipment and accessories. If any damage or faults are found the client must inform WCH immediately. In this case WCH will attempt to arrange for replacement equipment to be delivered, however if this is not logistically possible and/or no spare equipment is available then WCH will not be held liable for the client not being able to film the wedding/event. In this circumstance the client will receive a full refund of all monies paid to WCH after the equipment has been delivered back to WCH. No further action shall be taken by either party.

• The client agrees to take good care of the equipment at all times and to pack it away safely for return in the condition it was delivered following our return delivery instructions.

• The Client is solely responsible for the equipment and those who use it whilst it is in their possession and accepts full responsibility for loss or damage to the equipment. All responsibility for ensuring that the camcorder(s) are filming throughout the course of their wedding / event rests with the Client. WCH accepts no responsibility for missed filming opportunities throughout the hire period or for poor quality filming/audio or loss of memory cards / recording media. The client is also solely responsible for ensuring that the camera lens is clean and clear at all times of any marks or obstructions including finger prints, that could result in poor quality footage.

• The client is responsible for a £250 excess charge in full if in the highly unlikely event that the equipment gets damaged, lost or stolen. In this case the client agrees to contact WCH immediately. If any of the equipment / accessories require any servicing or repair upon inspection, then the client will be liable for this charge and also any equipment or parts that need to be replaced.

• The client agrees to indemnify WCH and its employees and agents from and against all losses, damages, claims or liability of any kind including legal expenses, arising from the use, condition, defects or use / operation of the equipment and accessories supplied by WCH.

• In the highly unlikely event of full footage failure, loss or damage of footage due to memory card / camera issues, equipment / footage lost via the courier or any other possible reason, the liability of one party to the other shall be limited to the total value of the contract. Neither party shall be liable for any indirect or consequential loss.

• It is the clients responsibility to ensure that permission to video record at the desired locations has been granted. WCH will not be held responsible for any disputes with regards to video recording during the hire period, which results in a lack of filming.
